1) When creating a new file’s text info, enter in as many key words as possible that will allow you to find the file in the future such as:
-Architectural styles i.e. Rancher, craftsman, contemporary,
-Filmable features i.e. Bay window, open plan, hardwood floors
-Geography i.e. Hill top, forested, Richmond, North Vancouver
-Descriptive words i.e. Retro kitchen, 1950s, New York, natural light, high ceilings,
-Location Manager’s initials,
-Name of job i.e. Prozac job,
2) To see a file’s contact info after it has been created, select “Show/Hide Details” on the top right side of the page.
3) When creating a new Location file, the Title (1st text field when creating a new file) will be visible if you submit to the database. Since Vision net has a strict privacy policy to homeowners this will be removed. A better Strategy is to place the homeowners name in the “Private Notes” field.
4) Only one login per browser is permitted, so you cannot be signed into both a PIM room and a Project room simultaneously using two open tabs or windows on a single browser. You can however work around this problem by logging in with a second browser. For example, you can access you PIM in Firefox while simultaneously organizing your Project Room in Safari, but you may not access both from a single web-browser at the same time.
5) For faster uploading, first place your photos in a .zip file. Up to 10 .zip files can be uploaded at once into one file, up to a maximum of 50mb. To zip a file simply click on it once, then hold down the control button and select Create Archive of “file name” from the pop up menu. To create a .zip file with Windows use Winzip. If you do not have this program in your computer it can be downloaded at www.winzip.com/.
6) Once you’ve created a file, you can categorize it by as many different category names as you like. Select [E] to edit and scroll to the bottom of the page to select more categories. (i.e. Put it both “Cafes” and “North Vancouver”) .
7) It is very useful to create a Client username and password in Admin section so those you invite to your site will not be able to delete or access your main library. You can always, edit, delete it or add a new one later on.
8) For residential photo files, select your own personal contact information. This allows you to keep information about the photo file confidential. For photo files such as mountains and parks, select GRVD (you will need to create this as one of your contacts first).
9) Any information changed in your “Contact Manager will change throughout the system. So, a phone number or email can be easily updated throughout your VisionScout landsite by changing them for a single file.
